Registration will open Monday, November 4 at 8 a.m. Central Time.

Where can I get a Certification of Attendance?

All registration categories except Guests/Spouses/Children, Retired Members and Exhibitors will be able to print a certificate of attendance (one per registration record) beginning Saturday, May 4 at 12pm, at the express registration counters.

What is the dress code?

Business casual.

Will there be food/beverages available?

Food and drinks will be available for purchase inside the exhibit hall.

What are the guidelines for Cancellations / Refunds?

Requests for registration cancellation/refunds must be received in writing, including name and registration/badge number, and sent to the attention of the Sarah Dvorak via e-mail sdvorak@aaortho.org or fax 800.747.2513. A $50 cancellation fee will apply to any cancellations received from May 5 through June 3. Requests received after June 3, 2020 (30 days after meeting) will not be approved.

Will there be a designated Family Room?

Yes! The Family Room will be located in the convention center (GWCC) and will include:

  • Lockers for storage, changing tables, variety of size diapers, baby wipes, refrigerators, comfortable seating, privacy areas
  • This room will also be in much closer proximity to Camp AAO, positioned right across from each other on the same level

Where can housing information be found?

The link to book housing will be included in the registration confirmation email. EDUCATION

Who can get a certificate of attendance?

All registration categories except Guests/Spouses/Children, Retired Members and Exhibitors will be able to print a certificate of attendance (one per registration record) beginning Saturday, May 3 at 12pm, at the express registration counters. Following the meeting, the certificate can be downloaded from the AAO website.

Where can I manage CE credits?

CE credits can be managed on the AAO mobile app or on the AAO CE Manager. There are a total of 20 CE hours available for this meeting.

SPECIAL EVENTS

Where can I purchase additional event tickets?

      Tickets for special events can be purchased through the online registration system or onsite, while supplies last.

Where and when will the Opening Ceremonies be held?

Friday, May 1 from 7:00pm – 10:00pm at Mercedes Benz Stadium. Entertainment Big & Rich. One ticket included with paid registration. Children 3 & under do not need a ticket. Additional tickets are available for purchase for $30, $15 for children ages 4-18.

Where and when will the Alumni Receptions be held?

Saturday, May 2 from 5:30pm – 7:30pm at Marriott Marquis. Hosted by the individual schools.

Where and when will the Global Reception (formerly International Reception) be held?

Saturday, May 2 from 7:00pm – 10:00pm at World of Coca Cola. Price: $50 and includes food & 2 drink tickets.

Where and when will the Excellence in Orthodontics Awards Luncheon be held?

Sunday, May 3 from 12:00pm – 2:15pm in GWCC – Hall A2. Featuring Jon Meacham. Two ticket options are available for purchase: $60 with lunch or $15 program only.

When and where will the Resident Reception be held?

Sunday, May 3 from 5:00pm – 7:00pm at STATS. Includes food & 2 drink tickets. Spouse/guest tickets are available for $35.

Where and when will the AAO Celebration be held?

Sunday, May 3 from 7:00pm – 10:00pm at Georgia Aquarium featuring Party on the Moon. Price: Adult $60, Children ages 4-8 $30. Children 3 & under do not need a ticket. Tickets include food & 2 drink tickets.

Where and when will the Fun Run & Walk be held?

Sunday, May 3 from 6:30am – 7:30am location TBD. Price: $25.

How can I purchase a list of attendee contact information?

An attendee list can be purchased through the Exhibitor Service Kit which will be available through the exhibitor portal in January 2020. There will also be a direct link posted on the portal.

What do I need to purchase a Certificate of Insurance?

All exhibitors must provide proof of insurance by March 2, 2020, in order to be allowed in the Exhibit Hall. Please refer to pages 14-15 of the Invitation to Exhibit to review what is necessary to provide us to ensure that they are insured.

Should a Certificate of Insurance not be received by March 2, 2020, the exhibit space may be canceled without refund of monies. The AAO requires the following coverage, with respect to insurance:

  1. Comprehensive General Liability insurance, including contractual liability with limits of at least $1,000,000 per occurrence and $2,000,000 aggregate for bodily injury and/or property damage arising from the premises/operations and/or products and completed operations. Also, providing coverage at the same limits for personal and advertising injury.
  2. Worker’s Compensation or waiver to full compliance of federal and state laws covering all of the exhibitor’s employees for any work done on the exhibitor’s behalf with limits for employer’s liability of at least $500,000 for bodily injury to each employee by accident, $500,000 for bodily injury to each employee by disease, $500,000 policy limit for bodily injury by disease.

What information do I need to provide if using an independent contractor?

If you are using a decorating company other than Freeman Decorating Company for the decorating or installation of your booth, please complete the Exhibitor Approved Contractor form and upload it through your exhibitor portal under the Files Uploads button on the main page. This is also where you can find the form to complete.

How do I order furniture and services for my booth?

Booth Furniture & Services can be purchased through the Exhibitor Service Kit which will be available online by January 6, 2020.

What are the guidelines for Booth Cancellations/Refunds?

Exhibitors must notify the AAO Meetings Department, in writing, prior to February 3, 2020, to qualify for a refund of any deposit for cancelled exhibit space. The date the exhibitor’s written notice of cancellation is received in the AAO Meetings Department will be the official cancellation date. No refunds will be made for cancellations received after February 3, 2020. All cancellations will be assessed a minimum processing fee of $150.
